Trigger keywords

The trigger keywords feature allows you to create a folder and have the appropriate content types to be assigned to the folder automatically based on the name that you give it. 

This feature uses keywords that are assigned against the content types of your Contensis project. We have provided a default set of keywords to get you started, however you can change them to meet your needs.

Project setting

Trigger keywords are enabled on all new and existing projects by default, but the feature can be disabled by editing the ContentType_Folder_Trigger_Enabled setting in project setting of the Management Console.

Set keywords against content types

Only System administrators can update the keywords against a project that are used by the trigger keywords feature.

  1. Open the Management console. 
  2. Select Project Overview in the Project Explorer, and then Content Types.
  3. Find the content type you would like to add a keyword for in the Assigned Content Types grid.
  4. Press the Edit button, the Content Type properties dialog window will open.
  5. Add the keyword you would like to use in the keywords input field.
  6. Press Save to apply the changes.

? Character

Using the question mark character in a keyword makes the preceding character optional, this allows your to produce pluralised versions of the keyword rather than manually creating them. To illustrate we’ve provided some examples.

  1. images? would trigger assignments with a folders named image or images.
  2. documents? would trigger assignments with a folders named document or documents.
  3. But video? would trigger video or vide

Folder creation with keywords

Users with Folder Admin permissions can benefit from the trigger keywords feature. Any folder they create based on a keyword will automatically have the content type assigned, reducing the number of steps to get them up and running.


Can you use the same keyword against multiple folders?

Yes, using the same keyword against multiple content types will assign all the content types to a particular folder. e.g. assigning the keyword ‘documents?’ against PDF, Word, Excel would automatically assign all three content types to the folder.
