Content schedules

Content schedules allow you to set review and expiry dates for your content. Content schedules are applied to templates or content types at project level or can be individually overridden at content level. For example, you could set content schedules against all news articles using your news template to be reviewed every year and set to expire after 3 years.

Project level schedules

Project level schedules define review and expiry dates on a project wide basis. These are applied to content types and templates, the system will automatically handle the expiry of content and will notify through email notifications when its time to review the content.

Create a content schedule

  1. Navigate to the Management Console.
  2. Open the Project Settings and select Content Schedules.
  3. Click Create Content Schedule. The create new content schedule window will appear.

Choosing a content type or template

As content schedules are applied to content types and templates, and not the content itself. You need to choose one or the other for each particular content schedule. The dropdown menu also has a search that will typeahead for you, suggesting the content types or templates that match with the letters you entered into the search area.

Allow editors to override schedule

You can set the schedules to allow editors of content to set their own schedules. For example a blog post might want to be reviewed after a shorter period of time if the topic is of a volatile subject such as a specific version of a software product.

Note: We enable the ability to override schedules by default as editors may have already set review and expiry dates on their content. 


Rules provide the ability to set different review/expiry criteria on a content that meets a different set of conditions. For example whilst news articles that use the news template generally need reviewing every year and are set to expire every 3 years. News in an department/section folder may need to expire every 6 months. Rules allow you to set new expiry/review dates based on this different criteria.

You can add as many rules to a schedule as you like. These rules can be used to change the review of expiry date matching content inside of specific folders. 

In future updates to Contensis the rules will be expanded to be applicable to more than just content within a folder.

Removing project level content schedules

You can remove a content schedule on its own or along with others in a mass delete. Deleting a content schedule does not move it to the recycle bin, it actually removes the content schedule. So be sure you want to delete a schedule with lots of rules applied to it as you won't be able to get it back again.

Override project level schedules

If a project level schedule Allows override an editor can change the expiry and review scheduled that has been assigned. In the example of news that we've used, you may find a particular article is date sensitive and needs to expire on a set date before the project level schedules deems it appropriate to expire.

You can override a project level schedule on a piece of content by implementing content level schedules, found under the Content Schedules section of the Properties screen when editing piece of content.
